What to do when contracting a speaker engagement

Preparation of, and signing off of, a contract for your choice of speaker for your event is a crucial step in ensuring its success. Rest assured, Keynote Entertainment will guide you through every step of the way, to navigate the contractual process.

Once you are ready to secure your speaker, we will finalise all the details needed to generate the agreement and send it to you via email, usually within 24 hours of your confirmation.

So you are prepared and understand what you need to do when contracting a speaker engagement, we have provided a brief summary of what’s involved below:

The Booking Agreement

Once you've confirmed your speaker, Keynote Entertainment will send you a booking agreement. This document contains very important information, based on our previous discussions with you regarding your event. Please review it carefully — we will also be very happy to talk you through the agreement so that you understand it completely. The agreement outlines the terms and conditions of the engagement, including:

  • Speaker Details: Name, topic, and presentation specifics.
  • Date and Time: Ensure these align with your event schedule.
  • Fees and Payment: Please make sure you understand the fee and payment schedule, so that there are no surprises.
  • Cancellation Policy: Know the procedures and implications of cancellation.
  • Additional Requirements: Any specific requirements for your event will be detailed here.

Reviewing and Finalising

Please take your time to review the booking agreement thoroughly. If you have any additional requests or requirements for your event, make sure you inform Keynote Entertainment as soon as possible — we will be in touch to check in with you.

Additional requests might include:

  • Technical Needs: Audio-visual equipment, stage setup, props.
  • Content Customisation: Specific topics or messages to address.
  • Interaction: Introduction to the audience, Q&A sessions, audience engagement activities.

Final Check!

Before signing off the agreement, don’t forget to double-check the following details:

  • Contact Information: Verify the correct contact details for everyone involved in running of the event.
  • Event Logistics: Confirm the venue name and address, event date, and time.

The contractuals are a dry part of arrangement of any event, but very necessary. Again, Keynote Entertainment is here to help, particularly regarding understanding the contract, and meeting your obligations.
